Housing poachers and data scammers pose as representatives of AAAE to solicit hotel reservations and sell unofficial attendee rosters. These companies or individuals are known to constantly change their company and domain names, so we encourage you to pay special attention to anyone soliciting on behalf of AAAE. Solicitation of hotel reservations from any other organization or individual other than AAAE and its staff is NOT authorized by AAAE and may have inaccurate room inventory, unreasonable cancellation or change penalties, or be completely non-refundable.
Note that the only truly authorized information concerning the 96th Annual AAAE Conference & Exposition will come directly from AAAE and will be accessible through our website. Please be aware of and report any unauthorized solicitation toaaaemeetings@aaae.org. Please also note that AAAE does no sell any attendee roster lists, so do not get tricked into paying anyone for that information.

A nonrefundable first night's deposit will be charged during the reservations process and must be paid by a valid major credit card or check. Any guaranteed reservation not cancelled 72 hours prior to arrival will be subject to one-night room and tax cancellation fee. Any reservations that fail to arrive on the scheduled arrival date will be considered No-Shows and a charge of one nights room and tax will be posted to the Master account or to the individual Attendee's credit card on file.
In the event a guest who has requested a room within your block checks out prior to the guests reserved checkout date, the hotel will add an early departure fee in the amount equal to one night room and tax to that guest's individual account. Guests wishing to avoid an early departure fee should advise Omni Nashville Hotel at or before check-in of any change in planned length of stay. Omni Nashville Hotel will inform members of your group of this potential charge upon check-in, Omni Nashville Hotel will deduct any collected early departure fees from the amount you may owe as performance damages.

Cancellation policy for individual guest rooms - reservation must be cancelled 48 hours prior to arrival to avoid a penalty of (1) one night's room and tax.
