Hospitality and Outside Event Policy
To protect the integrity of the Aviation Issues Conference and ensure all registered attendees receive the full value of the conference experience, organizations and attendees must conduct hospitality activities in a manner that complements, rather than competes with, the conference.
Conference sponsorship provides exclusive opportunities to engage with attendees during the conference period. These benefits recognize the investment made by sponsoring organizations while preserving the value of conference programming, networking events, and the overall attendee experience.
An ancillary event is defined as any reception, dinner, activity, excursion, hospitality suite, meeting, entertainment function, networking event, customer event, or other gathering held in conjunction with the Aviation Issues Conference that is intended to attract conference attendees.
The opportunity to host ancillary events is a benefit reserved exclusively for conference sponsors. Organizations that are not conference sponsors may not organize, promote, sponsor, or host an ancillary event directed toward conference attendees before or during the conference period.
Any ancillary event requires the prior written approval of AAAE. Approved ancillary events may not conflict with official conference programming, educational sessions, networking events, exhibit hours, or other conference-sponsored activities unless AAAE specifically authorizes an exception.
Organizations, sponsors, and attendees may not advertise, promote, distribute invitations for, or otherwise solicit attendance at an unapproved ancillary event through conference facilities, conference communications, attendee lists, or other conference-related channels.
Organizations or individuals found to be in violation of this policy may be subject to one or more of the following actions, at AAAE's sole discretion:
- Immediate cancellation of the unauthorized event or activity.
- Removal of promotional materials related to the unauthorized event from conference facilities.
- Revocation of sponsorship, or hospitality privileges for the current conference.
- Removal of conference registration privileges for the current event.
- Ineligibility to sponsor, register, or otherwise participate in future Aviation Issues Conference events.
AAAE reserves the sole right to determine whether an activity constitutes an ancillary event or an unauthorized competing function and to take any action necessary to enforce this policy.
By registering for or participating in the Aviation Issues Conference, all organizations and attendees acknowledge and agree to comply with this Hospitality and Ancillary Event Policy.
