About the Workshop

Effective incident report writing is an essential competency for airport operations, aviation security, law enforcement, and emergency management professionals. Accurate and comprehensive documentation provides an official record of incidents, supports investigations, and contributes to regulatory compliance, operational accountability, and airport safety.

This one-day, instructor-led workshop provides participants with a foundational understanding of incident reporting principles and their application within the aviation environment. The course examines the essential components of professional incident documentation, including report organization, note-taking, logbook entries, incident scene investigation, and investigative interviewing techniques. Participants will also examine applicable Federal Aviation Administration (FAA), National Transportation Safety Board (NTSB), and International Civil Aviation Organization (ICAO) requirements related to aviation accidents and incidents, including aircraft accident reporting and wildlife strike documentation.

Particular emphasis is placed on the accuracy, objectivity, and legal significance of incident documentation. Reports, field notes, and logbook entries may serve as evidence in administrative investigations, legal proceedings, or regulatory reviews. Aviation professionals may also be required to provide testimony regarding documented incidents months or years after an event has occurred. Accordingly, the course addresses the importance of preparing clear, factual, and defensible records that accurately reflect the circumstances surrounding an incident.

Through instructor-led discussions and practical applications, participants will strengthen their ability to document incidents systematically, communicate investigative findings, and support the responsibilities of responding agencies and airport personnel.

At the end of this training, you will be able to:

  1. Identify and interpret applicable FAA, NTSB, and ICAO requirements associated with aviation accident and incident reporting.
  2. Demonstrate effective incident report writing techniques that emphasize accuracy, objectivity, completeness, and chronological organization.
  3. Apply appropriate note-taking and logbook documentation practices to establish reliable records of incidents and operational activities.
  4. Analyze the essential elements of professional report writing, including factual accuracy, clarity, organization, and the distinction between observations and conclusions.
  5. Demonstrate fundamental investigative interviewing techniques used to collect, verify, and document information related to airport incidents.
  6. Evaluate the legal implications of incident documentation, including its potential use as evidence in investigations, depositions, and judicial proceedings.
  7. Prepare a properly structured incident report using appropriate grammar, spelling, professional terminology, and standardized formatting conventions.

Participants will also examine the responsibilities of external agencies during airport incidents and the importance of coordinated response efforts. Instruction will address how effective documentation and evidence preservation support incident management, investigative procedures, and the responsibilities of emergency response organizations.

Designed for both newly assigned personnel and experienced aviation professionals seeking to strengthen their reporting competencies, this workshop emphasizes the practical application of professional documentation standards in airport operations and incident response.
