BEWARE OF POACHERS AND SCAMMERS!

Housing poachers and data scammers pose as representatives of AAAE to solicit hotel reservations and sell unofficial attendee rosters. These companies or individuals are known to constantly change their company and domain names, and may impersonate official AAAE email signatures, so we encourage you to pay special attention to anyone soliciting on behalf of AAAE. Solicitation of hotel reservations from any other organization or individual other than AAAE and its staff is NOT authorized by AAAE and may have inaccurate room inventory, unreasonable cancellation or change penalties, or be completely non-refundable.

Note that the only truly authorized information concerning the 99th Annual AAAE Conference & Exposition will come directly from AAAE and will be accessible through our website. Please be aware of and report any unauthorized solicitation to aaaemeetings@aaae.org. Please also note that AAAE does not sell any attendee roster lists, so do not get tricked into paying anyone for that information.

Hospitality Event Space

Having a dedicated space to network is key to making connections, and AAAE is proud to offer these opportunities. Hospitality suite are intended for entertainment and relationship-building purposes only. AAAE does not allow hospitality space holders to display or demonstrate any product; these acts are strictly prohibited. Hospitality suite hours cannot conflict with any scheduled AAAE function.

In order to host a hospitality event at any venue in conjunction with the Annual AAAE Conference & Exposition, you must meet one of the following requirements:

Exhibit with a 10’ x 10’ booth or larger
Sponsor an event or item valued at $9,500+
Advertise in the Annual Conference issue of Airport Magazine with a full-page ad.

Hospitality Policy

AAAE prohibits any attendee or organization, including sponsors, from holding any promotional, social, meetings, or educational events, during the official dates and times of any 99th Annual AAAE Conference & Exposition event without prior approval from AAAE. In order to host an outside event, sponsors must comply with the following:

Register all functions with Show Management that you intend to hold in the general vicinity of the host city on the event dates or during the two days leading up to or following the event
Provide Show Management an advance a copy of all invitations or announcements of your function
The dates and times of such functions may not conflict with events (sessions, meals and receptions) on the official event agenda
Any such gatherings should be convened primarily for the benefit of attendee (with at least two-thirds of invitations going to attendees), and such functions may not charge a fee

No exceptions to these policies are permitted. Violations may cause such individuals or organizations to forfeit the privilege of sponsoring, exhibiting, advertising and attending the event and future events.

Sponsor's Right of First Refusal

At AAAE, we have the following Right of First Refusal Policy for our sponsor community:

In recognition of the sponsoring company's support of the Annual AAAE Conference & Exposition, AAAE agrees that with respect to the following year, companies with EXCLUSIVE sponsorship will have the right of first refusal over all other potential sponsors for the same sponsorship of the same event or item, in the subsequent year.
Sponsoring companies are eligible for this right of first refusal to renew their sponsorship only if the company has exclusively sponsored an event; however, the benefits and consideration of the sponsorship may be renegotiated as necessary.
Sponsors shall have 120 days following the conclusion of the Annual AAAE Conference & Exposition to renew their sponsorship for the following year. If the sponsoring company fails to notify AAAE of its intention to renew its sponsorship within the 120-day period, AAAE reserves the right to open the opportunity to the public without providing prior notice to the previous year's sponsoring company.
